About the position.
The Operations Coordinator is accountable for general office and financial administration functions of the Philippines office. The position is the coordination point between The Foundations Global Business Operations team (based in Sydney, Australia), the technical support h ub, and the Country Office.
The Operations Coordinator will own the following outcomes:
* Office Management: Oversee the efficient running of the country office. Coordinate fulfillment of government compliance requirements. Oversee the Induction of all new staff on local and global office policies, processes, and systems.
* Travel & Security Coordination: Coordinate logistics, travel and accommodation for the country team, visitors, and meetings, including visas, medical and other travel requirements.
* Administrative Support: Provide administrative support for the local team across event management, coordination with partners and beneficiaries, reporting, procurement, and IT.
* Finance Administration: Prepare and process country office requisitions, payment of invoices, manage petty cash, bank transactions, reconciliation, and requirements.
* Hub Technical Support: Provide technical and functional support for The Foundations regional hub in its work in other areas, such as maintaining transactional and reporting systems and processes across clusters as needed.
About You! To be successful in this role, we are looking for someone who brings the following skills and experience.
* Skills and experience in bookkeeping activities
* Previous experience in providing administrative support and managing a small office.
* Experience working with the Microsoft office suite including Outlook calendar management
* Purchasing and general accounts experience
* Outstanding organisational and time management skills, and a demonstrated ability to meet diverse and conflicting deadlines in high volume work environment.
* A strong team player who works productively and respectfully in a team.
* Excellent communication skills
